UNIT 11: 132-147 Requests & Instructions
Subject: My Presentation Handout
From: Ethan@somecom.com
To: Oliver@theco.co
Dear Oliver,
Thank you for your e-mail asking me for a copy of the handout of my presentation last week. Actually, there was never a handout, which you assume I distributed to the audience afterward. So, I won’t be able to forward you anything substantial that would help you make a proper assessment of the Russian market.
However, I’m attaching a copy of a PDF book entitled “Software Engineering”, in the hopes of assisting you in some way. It contains some of the same information I presented last week to your division.
I hope the attached proves helpful. Please let me know if there’s any other way I can be of service.
Regards,
Ethan
Type 1: Accept request
I would be pleased to provide a blurb about your services for the testimonial section in your new company brochure. I’ve taken the liberty to write a short paragraph below, but if you require something more specific, please let me know.

I just sent you the full set of drawings via courier. Let me know if you need anything else.
I can certainly spare 10 minutes, but please call me before noon.
Go ahead and discuss the contract with their attorneys.
I have no problem with you joining the meeting tomorrow.
I also think it’s a good idea for you to attend the sales convention.
I think we can agree to do that.
Taking your unusual circumstances into account, I’m going to approve your request to turn in the thesis a week late.
We’ll be happy to place you on the waiting list.
As you requested, I’m attaching the schematics of the automatic transmission model in CAD format.
I’ll be more than happy to contact Oliver Chu for you.
After some consideration, I have decided to approve your transfer to HK.

Ethan, I'm sorry to say I can't help you with this one.
Sorry I can't help you.
Normally, I wouldn't mind taking a look at your presentation draft, but I'm totally swamped with work.
I hate to turn you down, but I don't think it would be proper for us to introduce you to Ms. Chu.
I hate saying so, but I don't feel comfortable calling her on your behalf.
You know I'd help you if I could, but right now, my hand are tied.
I can't give you my approval on this.
I'm sorry to say that I don't know any reliable architect I can comfortably recommend.
I'm sorry that I won't be able to bring an extra set of drawings to the meeting because we don't have a spare one.

I would like to help to with locating a real estate agent here, but I really don't have any contacts in that area.
I would be glad to help you any way I can, but chemical engineering is not my field.
Because my schedule is completely booked until June, I'm sorry that I won't be able to attend your meeting.
I wish I could forward your proposal, but it might be unethical for me to do that.
I can understand why you want to send out an official request for proposal, but because of the inherent time constraint, I have to ask you to negotiate with the existing contractor.
I have to deny your request for conducting our own marketing survey since it would be a duplication of effort.
As for your request for the survey report, I'm sorry that giving you a copy would be against company policy.
I'm afraid that I cannot allow you to do that.
We would love to provide you with an extra set of training materials, but because we have only limited copies on hand, we will be unable to accommodate your request.
I'm afraid that is strictly confidential.
I regret that I'm unable to answer your request as I'm on a business trip.
We have already committed to the schedule, so we are unable to grant a time extension.
Because the deadline for application has closed, we will be unable to grant your request.
Regretfully, we will not be able to put you on the waiting list at this time.
I must decline your request to create additional guidelines on the grounds that it would only create unnecessary confusion for the staff.
The schedule, unfortunately, cannot be altered.
Since we have agreed to maintain confidentiality, I regret that I cannot disclose the source of information.

I have no authority to grant such permission.
Unfortunately, I do not control the right to the book.
My publisher hold the rights to the content.
Our company policy does not permit reproduction of those drawing.
The rights to the Taiwanian translation belong to Tan Books. We recommend that you contact the publisher.
Because the photos in the book were reprinted with permission from individual photographers, we ask that you directly contact the owners of photos you want to reprint.

We have to decline your request as the author has explicitly asked that no reprints be allowed.
My contract prohibits me from allowing reprints of the materials.

Subject: 3 Possible Choices for Market Survey Consultant
After looking for possible consultants for the market survey, we have narrowed our choices to these three companies: A, B and C. I have attached brief profiles for each in MS Word. Once you've had a chance to look through them, please let me know which firm you would like us to go with.

Here is what I want you to do.
I need the draft schedule by Wednesday morning.
Let the team know that they are to work on the TSMC project only on weekdays.
You may want to double-check with John about the figures.
It would be better to start from scratch rather than trying to work with a faulty design.
Regarding the lobby floor tiles, go ahead and accept the new sample A, but as for the carpeting in the coffee shop, I would like you to go with our original choice, sample C.
I ask that you first check with the legal department before agreeing to make changes in the contract.
I would like you to get the subcontractors together in the next few days and reach a consensus on a realistic completion date.
I think the best course of action is to make a compromise on the price.

Please provide me with an update on the estimate work by this Friday.
Please proceed as planned
My directions are as follows:
The following outlines the actions we require:
When you are done with the preliminary market evaluation, send me a copy via e-mail.
I would say that filing a claim is the proper response to the e-mail.
You are not to discuss this matter with Mrs. Chu under any circumstance.
Any future expenditure for office equipment must be approved by the office.
My preference would be to ascertain their true intentions before we take drastic measures.
It may be wise to simply wait for the other side to make a move.
Please read the attached final draft carefully to make sure we have included everything.
The first step involves brainstorming ideas with the members of your team.
When you have finished inventorying all the materials in the warehouse, enter the data into the spreadsheet.
After printing out two copies, sign both and send us one original executed copy via courier.
